With PeopleForce, Carlsberg Ukraine transformed onboarding into a unified system built to handle scale, regulations, and operational complexity. It shows how a flexible HR solution can adapt to the needs of a large manufacturing company — without compromising internal standards.

The company managed to improve the adaptation period, and now talent acquisition specialists spend less time on operational tasks.
Employees have quick access to a knowledge base with training materials, video instructions, and internal webinars.
New employees speak positively about their onboarding and have all the resources they need to succeed in their roles.
Carlsberg Ukraine introduced a unified onboarding standard across all production sites using PeopleForce tools.
Carlsberg Ukraine is one of the largest producers of beer and soft drinks in Ukraine and part of the global Carlsberg Group. The company brings together production sites, office teams, and remote employees in one ecosystem. It operates under strict occupational safety standards, controlled access to information, and a multi-level management structure. The team had a clear goal: bring newcomers, managers, and the P&C (People & Culture) team together in one digital space.

The company lacked a unified system to manage employee engagement and onboarding. As a result, workflows were often disorganized. Many processes were handled manually, and the tools used were not integrated with each other, making administration complex and time-consuming.
First the COVID-19 pandemic, and later the full-scale war, forced the company to quickly shift to a hybrid work model. Collaboration between production sites, offices, and remote teams had to be reorganized without a mature digital infrastructure in place.
While actively hiring new employees, the company also needed to keep existing staff motivated and engaged. Without centralized tools for communication and performance management, achieving this balance was challenging.
The onboarding process for new hires was not standardized. As a result, it sometimes took longer for employees to integrate into their teams, and productivity during the first months could be lower.
Documents and materials were stored across different systems and formats. Data verification and updates were handled manually, increasing the risk of errors and potential security risks.

Custom workflows in PeopleForce allowed the team to build a seamless, fully automated process — from offer acceptance to the employee’s first day. Before their start date, new hires upload the required documents through preboarding forms, while internal approvals and checks are handled automatically and without delays.

Automated onboarding in PeopleForce freed recruiters from manually tracking deadlines, sending messages, and collecting information. All welcome messages, tasks, and reminders are sent automatically based on a predefined workflow. This gave the team more time to focus on people development and supporting managers instead of operational routine.

The digitized process allows the team to track onboarding progress in real time. Surveys after one week, one month, and three months create a structured feedback loop and help identify areas for improvement. Based on feedback, the team improved buddy interactions and refined the process, enhancing the overall onboarding experience.

New employees quickly get access to the knowledge base and essential learning materials in PeopleForce. This is especially important for those who value speed and digital convenience. Onboarding is supported by a buddy, and regular feedback is now a standard part of the process. New hires consistently highlight the system’s ease of use and transparency.

PeopleForce has seamlessly integrated into the culture of Carlsberg Ukraine and aligns with the core principles of the Carlsberg Group — focusing on best practices, empathy, and people development. As a result, 98% of new hires at Carlsberg Ukraine reported that they clearly understood the company’s mission and values. Onboarding is no longer just a formal process. It has become an important part of the employee journey, with the P&C team supporting employees during key stages of adaptation.

PeopleForce tools were quickly embraced by department leaders. As a result, teams now regularly request additional configurations and new automation scenarios. Process automation has proven highly effective, even earning external recognition — including a partner award in the Digital HR category at the HR Brand Awards.
Carlsberg Ukraine proved that HR automation isn’t just for tech companies — it can deliver real value for large manufacturing businesses as well. HR teams don’t need to automate everything at once — they can start with a priority area such as onboarding and gradually expand automation to other HR processes. After implementing PeopleForce, Carlsberg Ukraine saved time on HR processes, improved the new-hire experience, strengthened its reputation as a modern employer, and received industry recognition, including the HR Brand Ukraine award.

In our corporate culture, P&C is all about people. We support employees from day one, as support is one of our core values. That’s why it’s important for us to keep onboarding structured and predictable — and automation has become an indispensable tool in making that happen.
