Data sources

Run figures from compensation, leave and time records

A payroll run collects the compensation, leave, time records and cycle rules already kept in PeopleForce for its period, and is exported as one Excel or CSV file. Nothing is typed into the run: a figure is corrected where it comes from and brought in with Sync.

Employee profile

Pay rates and components

Base salary or hourly rate, additional compensation and adjustments.

Leave

Paid and unpaid leave

Leave from leave policies and public holidays from each person's location calendar.

Time

Expected and worked hours

Expected hours from work patterns and worked hours from the Time module.

Payroll cycle

Period, currency and rates

Pay period, home currency, proration method and exchange rate source.

Payroll run

One run, one export file

People, amounts and totals for the period, exported to Excel or CSV.

The file

Columns in the payroll register

The file has one row for each base pay rate a person had in the period, in the cycle's home currency. Allowances, adjustments and totals sit on the person's first row, so the sheet adds up to the run total.

Run and person

Base pay

Base pay by rate, with the hours behind it

When a salary changes during the period, the person gets a row for each rate with its own dates and hours. Each rate is prorated over the days it applied, by calendar or working days as set on the cycle, and unpaid leave reduces the hours paid.

Additional compensation and adjustments by component

Every component used in the run gets its own column, whether it is paid once or every period, so the accountant sees a bonus separately from an allowance.

Column per component

Every bonus, allowance or other additional pay used in the run gets its own column, with Total additional comp. after them.

Column per component

Additions and deductions

Adjustments correct pay up or down. An adjustment set as a deduction, such as last month's overpayment, counts against the total.

Additions and deductions

One-off and recurring pay

A component paid once and one paid every period are both picked up by the run that covers their date.

One-off and recurring pay

Group totals in the gross

Total additional comp. and total adjustments are added to base pay to give each person's Total Gross.

Review

Payroll review before export

Read the run the way your accountant will before you export it. The change from the last period, the lines behind each total and the run total are on the same screen.

  • Vs Prior for every person

Each person's total gross is compared with their total in the cycle's previous run, as a percentage. It is blank when there is no previous run or the person earned nothing in it.

Run status

Export at each stage of the payroll run

The same export is available at every stage of a run; the stage decides how final the figures in the file are.

  • In progress

A working copy for reconciliation. The period has opened and the entries are calculated. Sync brings in late changes, and an export at this stage is a draft to reconcile with your accountant.

  • Approved

  • Completed

Currencies

Multi-currency pay in one home currency

Amounts paid in another currency are converted into the cycle's home currency at rates entered on the cycle or taken from the European Central Bank, Bank of England, National Bank of Poland or National Bank of Ukraine. Approval locks the rates, and the file carries the converted figures.

Delivery

Background export with a ready notification

Choose Excel or CSV under Export to. The file is prepared in the background while the interface stays responsive, and a notification arrives in PeopleForce and by email when it is ready to download.

All runs

Payroll runs summary for the period

The runs list exports with the same search, filters and date range you see: one row per run with reference, cycle, mode, frequency, currency, dates, status, number of people and total. The payroll cycles list exports the same way.

Access

Payroll access by role and the export log

Who works with payroll runs and their exports is set by role, and every export is recorded.

Manage payroll permission

Administrators and roles with the Manage payroll permission work with payroll cycles and runs. Roles don't have it by default.

  • Open payroll cycles and runs
  • Export a run, the runs list or the cycles list to Excel or CSV
  • Approve and complete payroll runs
Export log

Settings, Exports lists every export in the account, with three details for each one.

  • Number of records in the file
  • Person who ran the export
  • Date of the export
Download period
  • A file can be downloaded for 30 days
  • After that, the entry shows the download as expired

See the export on a payroll run like yours

Walk through a run from In progress to Completed with a product specialist, check the figures and export the file your accountant will receive.

Beyond the features

Why HR teams choose PeopleForce

Three problems HR teams raise on our calls when payroll is calculated outside the HR system.

No more stitched spreadsheets

Pay data sits in several Excel files that HR combines by hand every month. A payroll run collects it from PeopleForce into one file.

No change for your payroll provider

Outsourced payroll firms ask for the monthly data in Excel. The run exports to Excel or CSV, so their process stays the same.

Changes reviewed before payroll

HR needs to see what changed before payroll runs. Each total is compared with the previous run, and its breakdown opens in a panel.
