Eldar: HR work no longer depends on who's around

How Eldar made its HR team independent of any one person with PeopleForce 🚀

With more than 15 years in payments, Eldar grew fast from one year to the next, and its Human Capital team grew with the company to 12 people. But every process still lived in the Excel files of whoever handled it. With PeopleForce, the team's work stopped depending on any one person: today anyone can pick up a process, performance and goals are visible, and the climate survey cycle went from two months to two weeks.

Meet Eldar

A payments company that grew from one year to the next

Eldar has been in the Argentine payments industry for more than 15 years. After the pandemic, like many tech companies, it added projects and people very quickly, and today it has 200 employees. The Human Capital team grew alongside it: 12 people across three specialties, recruiting, talent and payroll. Vanina Nosach is Human Talent Management Leader and part of the four-person talent team. Eldar is also ISO 9001 certified.

The problem

A team that grew, with processes that still belonged to each person

As the company grew, so did Human Capital. But the way of working didn't keep up: each specialty, and each person, had their own files. These were the challenges the team faced:

  • Processes on each person's computer. Everyone on the team kept their processes in their own Excel files. If someone went on vacation, the rest couldn't access what they needed.

  • A recruiting system that fell short. It didn't cover a candidate's journey from CV to first day, and it didn't let people from other teams who run technical or client interviews take part in the process.

  • Performance reviews that never left Excel. Each manager scored their team from 1 to 5, but the feedback never reached the employee.

  • Goals once a year. They arrived by email at the start of the year and were reviewed at the end, with no tracking in between.

  • Climate surveys that took two months. Between the form, the analysis and follow-up rounds with each employee, the cycle dragged on, and the ISO 9001 audit required those results on time.

“I'd go on vacation and my Excel files stayed on my computer. I couldn't share them with anyone, or if I did, finding something specific was close to impossible.”

The change

Why did Eldar choose PeopleForce?

The search was led by Vanina, from talent, and her recruiting colleague, each with their own requirements. They wanted a platform that covered every employee's full journey, and couldn't find one. Recruiting also had an unusual requirement: people from other teams who join technical and client interviews needed access to the process. In PeopleForce they found both. The migration from their previous recruiting tool went smoothly, and as they used the platform they kept discovering features they needed and didn't know were there, like payslip signing. Because it's intuitive, nobody needed training to start using it.

Recruiting: From CV to first day in one process, with access for interviewers from other teams and a candidate database searchable by skills. (Recruit)

The foundation: An employee file new hires fill in before their first day, time off, payslips with signatures and an org chart built in one click. (Core HR)

Performance: Reviews with feedback for the employee, goals tracked monthly and one-on-ones shared across the whole talent team. (Perform)

“We kept Igor, our Customer Success Manager, very busy. He was really there for us the whole time. Every time we had a question, he'd jump in.”

Results

How did Eldar make its HR team independent of any one person? Before and after

Today Human Capital's work no longer lives on anyone's computer. Any of the 12 people on the team logs in with their own account and finds what they need, even when the person who owns that process is on vacation or leave. "If someone goes on vacation, is on leave, whatever it is, someone else can take over," Vanina sums up. The same happened with the talent team's one-on-ones: each person used to keep notes in their own documents, and now the platform flags when each meeting is due and what was discussed is available to the rest. "You talk to someone today, I talk to them tomorrow, and I'm already up to speed on what's going on with that employee," she says.

Climate surveys in two weeks, with ISO evidence ready to go

Eldar measures workplace climate twice a year, and the cycle used to take up a good part of each half. With PeopleForce, three things changed:

  • The survey goes out on time: It's scheduled in advance and no longer depends on someone being there that day to launch it. "On July 1, the survey goes out no matter what."

  • The data comes in on its own: Responses appear in the platform as each employee answers, with dashboards, tracking of who has responded and reminders sent from there.

  • No survey about the survey: Employees explain their answers in the survey itself, so there are no more follow-up rounds to understand each score.

"It went from two months to two weeks. That's huge," says Vanina. And for the ISO 9001 audit, which requires those results on time, she no longer builds an Excel file with the data: a screenshot of the platform is enough.

Transparency you can see in the numbers

For Eldar, transparency is a company value, and the platform helped put it into practice. Performance reviews no longer end up in the manager's file: the feedback reaches the employee. Goals, which used to arrive by email at the start of the year, are now entered and updated monthly, traceable and visible to the whole company. That way every manager can see where to reinforce and support their team during the year, and Vanina can work on goals together with the tech and sales teams. "One of our values is transparency, so having the numbers visible helps everyone."

“It's a very intuitive and complete platform. We looked at lots of companies and tools, and none of them had all the integrated systems we needed. Here, from the moment someone submits their CV through to onboarding, we can do it all in the platform.”
