Signer
Two signing methods to choose from
The method is chosen by the signer on the signing page, not by an administrator in settings. So the signer picks whatever works for them, Diia or another qualified key.
Diia.Signature
Works for most people: the signer already has Diia, and there is nothing to install.
On a computer, the signing page shows a QR code for the Diia app; on a phone, a link that opens Diia.
The code is valid for three minutes, with a countdown on the panel.
In the list of methods, this option carries a “Recommended” badge.
Electronic signature via ID.GOV.UA
For signers who use another qualified signature instead of Diia.
The ID.GOV.UA widget opens: the state electronic identification system.
The signer chooses the key storage and enters its details.
Any qualified key from a Ukrainian provider that the person already has will work.
How it works
Where signing fits in the HR process
Signing is a stage of the route that starts with an employee request and ends with a document in their personnel file.
The document is built from employee card data, goes to signers one by one, and returns signed to the employee folder and the general “Documents” section.

What you get after signing
Once everyone has signed, “Download” offers two files. They answer two different needs: paper and verification.

Signed document in .p7s
When several documents are issued for one employee, each follows its own signer sequence, so documents move independently of each other.

Frequently asked questions
What HR teams ask most often in demos and support: employee QES keys, paper copies and inspections.
Step-by-step guide in the help centerWhat if not everyone has Diia or a QES?
The signer chooses the method, and the second option accepts a qualified key from a Ukrainian provider via ID.GOV.UA. Some companies arrange keys for employees through their payroll bank. For everyone else, the document can be generated and printed as before, and the route works the same way.
What legal force does this signature have?
Documents are signed with a qualified electronic signature through this integration. Under the Law of Ukraine “On Electronic Identification and Electronic Trust Services”, a qualified electronic signature has the same legal force as a handwritten one. The signing protocol records signer details, time and certificate serial number, and the document with its signatures is stored as a separate .p7s file for external verification.
Do I still need to print documents?
That depends on your internal storage rules. If you keep orders on paper, there is a dedicated print version with the signing protocol, showing full name, code, time and certificate serial number for each signer. On paper, it appears as a separate page and a stamp.
How do I verify a signature outside the system?
Download the .p7s file from the document: it holds the document and its signatures. Open it in any external qualified signature verifier, independently of PeopleForce.
How do I share signed documents with inspectors?
The print version and the .p7s file can be downloaded from the document at any time and shared as regular files. Inspectors can review them without PeopleForce access.
