What the integration adds to your Google Workspace

Accounts and directory details follow what happens in PeopleForce, so nobody retypes a new hire into the Admin console or chases a leaver's account weeks later. More than 300 companies have it connected.

Accounts for new people

With Automatic provisioning on, adding someone with a work email through New hire, a hired candidate or the API creates their Google Workspace account moments later. That work email becomes the address, and names, phones, job title and manager go with it, so the account exists before their first day.

Accounts removed when people leave

The same setting removes the account PeopleForce created the night after the person's termination date, or at once if that date has already passed. Accounts your team made directly in Google are never deleted.

Directory details kept up to date

Switch on the hourly sync and choose from nine fields: full name, photo, personal email, mobile and work phone, employee ID, manager, position and department. When a profile is saved in PeopleForce, the matching Google account is updated within the hour, so the directory shows who does what and who reports to whom.

Prefer to decide case by case? Create or remove one account from the person's Actions menu, or add a Google Workspace action to a workflow, such as one that runs on the hire or termination date.

What moves between PeopleForce and Google Workspace

Everything moves one way, from PeopleForce to Google Workspace, at three moments: when a person is added, every hour while they work with you, and after they leave. Nothing edited in Google is written back to PeopleForce.

For each field you sync, the PeopleForce value replaces what's in Google whenever that person is synced, starting with everyone on the first run and including accounts created directly in Google. Choose the fields before you switch the sync on.

Setup

How the connection is set up

One connection covers your Google Workspace. A PeopleForce administrator starts it, a Google Workspace admin allows access, and you choose what to automate.

Step 1 · Connect

Install and allow access

Settings → Integrations → Google Workspace → Install, by a PeopleForce administrator.

Sign in to Google with a Google Workspace admin account that can manage users
Allow PeopleForce to manage user accounts in your Workspace
People already in PeopleForce don't get accounts, and no profile data is pushed until you switch the sync on

Step 2 · PeopleForce

Choose what to automate

On the same settings page, then Save.

Automatic provisioning, on for a new connection: creates accounts for people you add, and deletes them when people leave, are deleted or lose PeopleForce access
Enable 1-way sync, off until you tick it: pushes profile changes every hour, with the fields you choose
Untick both to work from the Actions menu and workflows instead

Integration conditions

What the account is, what leaving does, and which side stays the source of truth.

The work email becomes the Google address

PeopleForce creates the account with the work email from the profile, so enter the new address there before you add the person; it must be on a domain in your Workspace. PeopleForce creates the user only and assigns no licences, groups or organizational units.

Leaving deletes the account

With Automatic provisioning on, the account is deleted, not suspended, and PeopleForce doesn't transfer Drive or Gmail data, so move what you need in the Admin console before the termination date. Deleting someone's profile or switching off their PeopleForce access also deletes the account PeopleForce created for them.

PeopleForce stays the source of truth

Data goes one way: whatever is edited in the Admin console stays there and never reaches PeopleForce profiles. Empty fields in PeopleForce are never pushed, and disconnecting leaves every Google account as it is.
